1. Basic Policy
Daiwa Office Investment Corporation (Daiwa Office) will appropriately handle, protect and manage personal information provided according to the following policies:
- 1. Daiwa Office will comply with the Act on the Protection of Personal Information and other laws and related regulations ("Laws, Regulations, etc.").
- 2. Personal information will only be acquired to the extent necessary to execute operations.
- 3. Personal information will not be acquired through unlawful means.
- 4. Daiwa Office will not use personal information acquired for purposes other than the purposes of use listed in 2. below, nor will it provide this information to third parties, except as otherwise required by law.
- 5. Daiwa Office will make an effort to manage personal information acquired with accurate and the most up-to-date content. Furthermore, it will implement strict safety control measures to prevent accidents such as loss, misuse, or corruption of personal information acquired.
- 6. Daiwa Office will review the Privacy Policy as needed, based on opinions raised by the relevant individual, etc. or revisions to Laws, Regulations, etc., thereby making a regular effort to improve the Privacy Policy.
- 7. When Daiwa Office receives consultations, claims, etc. regarding the handling of personal information, it will investigate this matter and make an effort to appropriately and promptly respond within a reasonable amount of time.
2. Purpose of Use of Personal Information
Daiwa Office will not handle personal information for purposes other than the purposes of use described below, without having obtained the prior consent of the relevant individual, unless permitted by Laws, Regulations, etc.
Daiwa Office will use personal information for the following purposes:
- 1. To implement various measures to smooth relationships with unitholders
- 2. To receive requests for materials, to mail them out and to provide various types of information
- 3. To conduct investigations and analyses relevant to the business activities of Daiwa Office
- 4. To communicate with concerned public offices, various associations, business partners, etc.
- 5. To implement anticrime measures and crisis management of Daiwa Office
- 6. To respond to claims, inquiries, etc.
- 7. To make judgments concerning the recruitment of personnel
- 8. To make contact concerning administrative matters
- 9. To implement the business administration and internal control of Daiwa Office
3. Appropriate Management of Personal Information
Daiwa Office will appropriately manage personal information acquired by implementing necessary safety measures, so that leakage, loss, falsification, illegal access or similar incidents do not occur. Furthermore, Daiwa Office will also strictly select and supervise external subcontractors to whom it entrusts personal information.
4. Entrustment of Personal Information
Daiwa Office may outsource all or part of its operations to smoothly carry out operations and may provide personal information to subcontractors as needed in the following cases or similar cases.
- 1. Printing or mailing out of written documents to be sent to unitholders, etc.
- 2. Operations regarding the operation or maintenance of information systems
- 3. Operations regarding the provision of professional advice, etc. in the areas of law, accounting, etc.
5. Disclosure or Provision of Personal Information to Third Parties
Daiwa Office will not disclose or provide personal information acquired to third parties unless it is outsourcing operations or it has obtained the consent of the relevant individual, except for cases which fall under items prescribed by Laws, Regulations, etc. Furthermore, if use of personal information acquired is shared with another specific party, Daiwa Office will use this information either by disclosing necessary items or after having sent notice to the relevant individual.
